Since launching “ExoSphere” in March 2022, Fleet has signed contracts with over 30 customers based in Australia and North America including Rio Tinto, Barrick Gold and Core Lithium. Fleet’s ExoSphere technology is contributing to solve the pressing global priority to decarbonise mobility and find more than $13trillion USD worth of minerals required for the energy transition to help meet global net zero priorities.
  
The Role

We are actively seeking an experienced Executive Assistant to the Co-Founder/CEO  to play a critical role in the organisation, concentrating on the CEO's daily operations and mid-term planning. This role is fundamentally about optimising the CEO’s time in key business areas and enhancing productivity through effective time management.

To be successful in this role, you will need to demonstrate strategic thinking, whilst having the agility to manage and influence internal and external executive-level stakeholders. The role requires strong commercial acumen, a deep understanding of our business, and EQ led interpersonal skills. You will demonstrate the strategic agility to look longer term whilst working with key stakeholders to evolve the way we interact and operate today across the C-suite and beyond.  Thus, success at Fleet is all about team, cohesion, positive proactivity, continuously learning, and inspiring with an explorer’s spirit.  
  
Location: This position is based in Adelaide with occasional travel required
  
Main responsibilities:
  • Schedule management: Organise and maintain the executive's calendar, including scheduling internal meetings and managing complex domestic and international travel arrangements.
  • Act as the primary point of contact between the Co-Founder and internal/external stakeholders, filtering communications and requests.
  • Arrange logistics for meetings and prepare agendas, including the ability to run high impact strategy meetings.
  • Team coordination of an executive support team of 3 (including a PA and Driver) to help manage the Co-Founders work-life balance, ensuring that personal and professional obligations are met seamlessly.
  • Instinctively and effectively partner with the executive to anticipate their needs, understanding that time is valuable and optimizing their day is your expertise
  • Act as a point of contact between the executive and other staff or external contacts/visitors.
  • Assist with special projects, including research, data analysis, and preparation of presentations and reports.
  • Foster and drive forward a collaborative “one-team” environment between your areas of responsibility and other stakeholders
Key Skills and experience:
  • Proven experience as an Executive Assistant in a fast-paced environment
  • Bachelor's degree in Business Administration, Communications, or a related field is preferred
  • Strong organisational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and anticipate the needs of the CEO.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal skills for interacting with diverse groups of people.
  • Detail-oriented with a proactive approach to problem-solving.
  • Capacity to work under pressure and meet deadlines.
  • Proactive, resourceful, and able to handle a high degree of responsibility.
